Announcements under the Law Concerning the Protection of Personal Information

The Company will announce the following matters in accordance with the Law Concerning the Protection of Personal Information (“the Law”).

1. The purpose of use of personal information, etc.

1) Purpose of use when directly acquiring Personal Information in the document (Article 18, Paragraph 1 of the Law)

The use of collected Personal Information is limited to Land Price Publication, Research for land value, public valuation and *Appraisal by real estate appraisers.

*Appraisal is real estate appraisal, and the performances using the name of the real estate appraisers: research / analysis for various factors that act on objective valuation report, and responds to the utilization of real estate or the consultation of investment. (Article 2, Paragraph 2)

2) Announcements when Customer shall be able to request the Company to refrain from providing Personal Information to third parties (Article 23, Paragraph 2)

3) Shared use of Personal Information (Article 23, Paragraph 4)

The company will shared use personal data are as follows :

  1. Range of parties with which personal data can be shared
    • Japanese Association of Real Estate Appraisal and its members
    • The administrative divisions of Japan Association of Real Estate Appraisers and its members
  2. Items of personal data to be shared
    • The data of value formation factor: Individual (Subject location, value, area, business associate name, facing roads width, etc), Area (the limit of the public law, the characteristics of area, etc.)
  3. Intended use of data
    • Appraisal under the provision of Article 2 Paragraph 2 of the Law regarding Land Price Publication, Research for land value, and other Public Valuation/Real Estate Appraisal.
  4. Organization responsible for management of personal data
    • Japanese Association of Real Estate Appraisers (including Area society under the association)
    • The administrative divisions of Japan Association of Real Estate Appraisers

2. Matters that should be made “accessible to an information owner” regarding “personal data held” (Article 24, Paragraph 1 of the law)

3. Matters concerning procedures, etc. to respond to the request for disclosure, etc. (Article 29 of the Law)

1) The subject Personal data of request for disclosure is as follows :

Personal data in the Real Estate Appraisal Report subject location, owner, tenant, etc.
Personal data obtained from clients of Real Estate Appraisal subject location, client, tenant, etc.
Membership list of Japanese Association of Real Estate Appraisal Membership’s name, address, office, phone number, etc.

2) Address for making a request for disclosure, etc.

Please complete the application form designated by the Company and send it with necessary documents (section 3 below) to the following address. In addition, please write in red “Application to request for disclosure, etc.” on the envelope.

3) The documents to present for the request for disclosure, etc. and its fee

Pleases download and complete the application form (A. below), and send it with the documents (B. below) to the address mentioned above.

When it is impossible to download the application, please send the company including a stamped (JPY80), self-addressed envelope. The Company address is below. The Company returns mail with the application form.

  2. Identification documents
    One or more of documents (Copy of Driver’s license, Passport, Health insurance card, Alien registration certificate) and Certified specimen of the seal (the same as application’s seal)

4) Request for disclosure, etc. by an agent

The Company will respond to the request for disclosure, etc. from:

  • A statutory agent of a minor or a ward who is of age, and
  • An agent whom the information owner has entrusted with a request for disclosure, etc.

Pleases send documents (above mentioned 3) B) and other documents (a. below) or (b. below).

  1. A statutory agent
    • Documents to confirm a right of statutory agent (a copy of a person’s family register)
    • Identification documents as a statutory agent
      One or more of documents (Copy of Driver’s license, Passport, Health insurance card, Alien registration certificate) and Certified specimen of the seal (the same as application’s seal)
  2. An agent whom the information owner
    • A power of attorney (with a registered seal)
    • Identification documents as an agent whom the information owner has entrusted
      One or more of documents (Copy of Driver’s license, Passport, Health insurance card, Alien registration certificate) and Certified specimen of the seal (the same as application’s seal)

5) Fee for the request for disclosure, etc.

JPY315 / each application (stamp of JPY315 enclose with an application form)

6) Method of responding to requests for disclosure, etc.

ご申請者の申請者記載住所宛に書面によってご回答申し上げます。

7) “Purpose of use” and “Retention period” of Personal Information obtained in the process of request for disclosure, etc.

  • The Company will handle the Personal Information it obtains in the process of a request for disclosure, etc. only to the extent necessary to respond to the request for disclosure, etc.
  • The Company will store documents submitted at the time of a request for disclosure, etc. for two years after completing the response to the request for disclosure, etc. and, when two years have elapsed, destroy the documents.

8) Reasons for non-disclosure

When any of the following reasons applies, the Company will not disclose the Personal data it holds. When the Company decides not to disclose the Personal data, the Company will provide notice of the decision, with the reason attached. The Company will charge the predetermined fee even when it decides not to make disclosure.

  • When it doesn’t comes under the definition of Personal data (Article 2) that a request for disclosure
  • When the life, health, property, rights or interests of the information owner or a third party could be harmed
  • When the proper performance of the Company’s business could be seriously interrupted
  • When a law would be violated
  • When the Company can not confirm the existence of applicant’s Personal Information
  • When a agent doesn’t have a right to request for disclosure, etc.
  • When a false application form
